Terms & Conditions For Rental of Event Hall

Rate card, revised as at October 2024

1. PURPOSE

The event hall at Nanyang Pho Leng Hui Kuan (“NPLHK”) may be booked by individuals or organisations (“Client) for events such as social gatherings, anniversary dinners, annual dinner & dance, educational seminars, lectures, indoor religious ceremonies, etc.

The event hall may be used for a minimum of 3 hours and a maximum of 8 hours. After which, additional charges will apply based on the prorated hourly rate.

All rates quoted include air-conditioning, basic lightings as per existing event hall layout, 40 banquet tables, 400 chairs, but exclude audio equipment, labour and F&B. Any additional lightings or professional audio equipment required, will be borne by the Client. NPLHK will not be responsible for any damage/lost incurred during the event.

The event hall can accommodate a maximum of 40 banquet tables.

4. RESERVATION & DEPOSIT

A security deposit of $1,000 will be collected in advance once the event date is confirmed. The deposit will be refunded to the Client one (1) week after the event, provided there is no damage incurred to the property during the event, set-up, tear-down dates. However, should there be any damage/mishap/accident incurred during the above-mentioned dates, all damages shall and will be borne by the Client.

The deposit is non-refundable if the event is cancelled due to poor attendance or participation of event by the Client. However, if the event is cancelled due to unforeseen circumstances (e.g., unable to obtain relevant licensing/approval from Government authorities in time, Government authorities imposing sudden tightening of social distancing measures), the deposit can be or will be fully refunded back to the Client, based on a case-by-case basis.

5. FULL PAYMENT 

Full payment of the booking fee (including 9% GST) is to be made to NPLHK at least one (1) week prior to the event. Payment can be made via cash, cheque, bank transfer, or PayNow. All cheques should be crossed/non-negotiable and made payable to “Nanyang Pho Leng Hui Kuan”.

6. CHANGE OF EVENT DATE

Any change of booking date due to unforeseen circumstances must be made in writing either by letter or email to NPLHK at least one (1) month before the event. A one-time change of date will be granted free-of-charge, and the new date must be within the next six (6) months from the first booking date. No further extension will be allowed. Such requests will be subjected to NPLHK Management’s approval and availability of the new event date.

7. AUDIO / LIGHTING SYSTEM & F&B

For audio/lighting system and F&B, the Client will be connected to NPLHK’s appointed vendors. Please liaise with the appointed vendors with regards to engagement of professional technician and catering service. The Client will make payment directly to the appointed vendors. Should the Client be engaging third party vendors which are not appointed by NPLHK, the Client shall inform NPLHK before confirming the services.

If the Client would like to utilise NPLHK’s audio system, kindly take note of the following:

  • The Client is only allowed to adjust the volume of microphones.
  • Please do not disconnect any connecting wires that have been connected to the audio system.
  • Should the wiring system been disconnected, all related charges incurred to employ a professional audio system technician to have the system re-connect/reinstate back to its original state, will be borne by the Client.

8. EVENT PREPARATION

Kindly take note of the following:

  • The Client will be allowed to use the event hall for set-up and preparation work 0.5 day (choose 4 hours between 9am and 5pm) prior to the actual event, subject to availability of the event hall. Air-conditioning will not be provided during this period.
  • Do not use or apply destructive materials such as nails, thumbtacks or adhesive glue etc., on the walls, curtains or floor.
  • Remove all items that do not belong to NPLHK at the end of the event.
  • Report any damage to NPLHK immediately prior to event date. Should there be any damage to NPLHK property after the said event, cost of repair work shall be and will be deducted from the deposit. Any additional damage charges incurred (on top of the deposit), shall be and will be borne by the Client. NPLHK shall not and will not be held responsible for any of the damages incurred during the event/set-up dates.
  • Hanging of banner or poster at the entrance of the building will be charged at $100 per day. The artwork must be sent to NPLHK at least one (1) week before the event. NPLHK reserves the right to reject the artwork.
  • Smoking is not allowed in the event hall.
  • No person shall use or be allowed to use any open flame, burning candle or candle in connection with any public meeting or gathering during the event. Any form of open flame or burning candles are not allowed in the hall during the event.
  • In the event when candles are allowed to be used in the open area (not event hall), please extinguish all candles when leaving the area or by end of the day. Please do assign your staff or volunteer to attend to the burning candles, and never leave burning candles unattended. Fire extinguishers (prepared at your own costs) shall be conspicuously located in positions where they will be readily accessible and immediately available in the event of fire. 

9. PUBLIC LIABILITY INSURANCE

In case of any mishap during the usage of the event hall, it is the Client’s responsibility to take up a public liability insurance. NPLHK and its employees shall not be held responsible in any way liable for any damage, loss of any mishap, loss of any personal property, personal injury, mishap, accident and/or death whatsoever that may arise directly or indirectly as a result of or in connection with the usage.

10. OVERSEAS SPEAKERS & LICENCE/PERMIT APPLICATION

If the Client is inviting overseas speakers/presenters to the event, the Client will be required to apply for the relevant documents (visa, miscellaneous works passes, police permit or licensing) from the relevant authorities. Such fees will be borne by the Client. For recording purpose, NPLHK reserves the right to request for a copy of all the approved/required licensing and permits from the Client prior to the event.

11. OTHERS  

NPLHK reserves the right to change or modify any of the terms and conditions at any time and in our sole discretion.
